The Office Manager will be responsible for the smooth operation of our office and for managing the workplace needs, of our various teams. This role calls for a combination of strategic and functional responsibilities. The Office Coordinator should be comfortable in a “self-directed” environment and is able to thrive in a collaborative culture.

Key responsibilities

  • Ability to work independently and become a self-problem solver;
  • Work with other department heads to evaluate and organize company events on a monthly basis;
  • Welcome clients and visitors to the office and assist them as needed;
  • General office management; maintaining general office tidiness, calendar management, receiving deliveries, front door attendance, etc.;
  • Maintain the attitude that nothing is outside my job description;
  • Coordinating incoming and outgoing mail, packages, and deliveries;
  • Manage the office cleanliness and kitchen area maintenance on a daily basis;
  • COMMUNICATION: Coordinating with the purchase and maintenance of office equipment, the building maintenance staff, and service vendors;
  • Collaborate with Human Resources, IT, and other departments in support of new hire; key fobs, gift bag, seating, etc.;
  • Replenish and maintain a stocked office/kitchen; grocery and supply ordering;
  • Office Paperwork; credit card receipts, office budget tracking;
  • Understanding of basic IT practices for seamless office productivity;
  • Running errands and performing miscellaneous job-related duties as assigned;
  • Plan ahead for office events, office travels, and execution of proper office procedures to ensure the overall employee and guests to the office satisfaction is met.

Job requirements

  • High school diploma or GED equivalent required
  • Previous experience in an administrative/support role
  • Computer literate and proficient using Microsoft Suite
  • Experience using office machinery (fax, printer, copier, phone systems etc.)
  • Proven record of going the extra mile, over achievement
  • Meticulously organized, detail-oriented and proactive
  • Heavy lifting can sometimes be expected; the occasional exertion of 10+ lbs. of force (e.g., carrying/moving boxes, moving conference equipment, packing items) may be required
